Fuel Card Rebate Program Terms and Conditions

These Rebate Program Terms and Conditions (“Terms”) govern the rebate program (“Program”) offered by Route Consultant Purchasing Alliance, Inc. (“Company,” “we,” “us,” or “our”) to eligible credit cardholders. By participating in the Program, you (“Cardholder” or “you”) agree to abide by these Terms.

  1. Program Overview

The RCPA Rebate Program allows eligible Cardholders to receive rebates in the form of cashback, points, statement credits, or discounts based on eligible purchases made with their RCPA Fuel card.

  1. Eligibility 

To participate in the Program, you must:

  • Be a legal resident of the United States;

  • Be at least 18 years old (or the age of majority in your state of residence);

  • Hold an active and valid RCPA Fuel Card Account, issued by Company;

  • Be in good standing with your account (e.g., no delinquencies, fraud, or account closures).

Please refer to your cardholder agreement for additional restrictions.

  1. Earning Rebates

    1. Qualifying Transactions

Rebates are earned on eligible purchases made with your RCPA Fuel Card at participating merchants or for qualifying categories, as defined by us. Examples include:

  • 2 cents cashback on fuel purchases

  • 6 cents cashback on qualifying fuel purchases at premier vendor locations

  1. Exclusions

Rebates are not earned on the following transactions:

  • Fees, interest charges, and unauthorized transactions

  • Non-fuel purchases

The Company reserves the right to modify the categories of eligible purchases at any time.

  1. Redemption of Rebates

Rebates may be redeemed in the following ways:

  • Mailed Check: The Company will issue and mail a check for the rebate amount on a quarterly basis. Check will be sent to the mailing address on file. The Company is not responsible for lost or undeliverable checks due to incorrect or outdated address information.

Rebates must be redeemed within 12 months of being earned, or they will expire.

  1. Rebate Adjustments & Forfeiture 

    1. If a transaction earning a rebate is refunded, the corresponding rebate will be deducted. If your account is closed, delinquent, or otherwise not in good standing, you may forfeit your rebates. The Company reserves the right to correct rebate errors or miscalculations.

    2. Default with Affiliates. The Company reserves the right to withhold or cancel any earned rebates if the Cardholder has defaulted under any agreement with the Company or any of its Affiliates. For purposes of this Program, “Affiliates” include any entity that controls, is controlled by, or is under common control with the Company, including but not limited to subsidiaries, parent companies, and related financial institutions. The Company may, at its sole discretion, share account status information with its Affiliates for the purpose of determining rebate eligibility, subject to applicable privacy laws.

  2. Modifications & Termination 

The Company reserves the right to modify, suspend, or terminate the Program at any time without prior notice. Changes may include adjustments to rebate percentages, eligible purchases, redemption options, or expiration periods. Any modifications will be effective upon posting on our website or providing notice to cardholders.

  1. Limitation of Liability 

The Company is not responsible for:

  • Any delays or failures in rebate processing due to technical issues or force majeure events.

  • Errors by merchants in processing eligible transactions.

  • The taxation of rebates—cardholders are responsible for any applicable tax obligations.

UNDER NO CIRCUMSTANCES SHALL THE COMPANY BE LIABLE FOR INDIRECT, INCIDENTAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM OR RELATED TO PARTICIPATION IN THE PROGRAM.

  1. Governing Law & Dispute Resolution 

These Terms are governed by and shall be construed in accordance with the laws specified in the Fuel Membership and Authorized User Agreement, without regard to its conflict of law principles. Any dispute, claim, or controversy arising out of or relating to these Terms shall be resolved exclusively in the forum(s) designated in such Agreement. By participating in the Rebate Program, you consent to the same choice of law and forum provisions, including any mandatory arbitration provisions, jury trial waivers, or venue limitations that apply under your Fuel Membership and Authorized User Agreement.
