How to Resolve a Failed RCPA Payment

Failed Weekly Payment? Here's What You Need to Know

At RCPA, we understand how important uninterrupted fuel access is to your business. That's why addressing a failed weekly payment quickly is essential.

RCPA automatically debits your account every Friday for your outstanding fuel balance. If that payment is unsuccessful due to insufficient funds (NSF) or another banking issue, you must resolve the outstanding balance within the same business day to avoid having your fuel cards deactivated.

Here's what you need to know about your payment options, processing times, and keeping your fleet on the road.

Frequently Asked Questions

1. What happens if my weekly RCPA payment fails?

RCPA processes weekly payments every Friday through an automatic ACH debit from your designated bank account.

If your payment is returned or fails to process, your account must be brought current within the same business day to avoid an interruption in fuel card access.

If the outstanding balance is not resolved that business day, your RCPA fuel cards will be deactivated until payment requirements are satisfied.

We understand this can be disruptive, but this policy helps protect both your business and RCPA from additional unpaid balances.

2. How can I resolve a failed payment and keep my fuel cards active?

If your weekly payment fails, you have two options to resolve the balance without an interruption in fuel card access:

  • Same-day wire transfer: Send the full outstanding balance through a same-day bank wire.

  • Zelle payment: Submit the full outstanding balance using Zelle.

Both methods allow RCPA to receive and verify payment more quickly than a standard ACH debit.

Important: Payment must be received and verified within the same business day to avoid card deactivation.

Your dedicated Customer Account Manager (CAM) can provide the necessary payment instructions and help you through the process.

3. Can RCPA simply retry my ACH payment if I've added funds to my account?

Yes. If your initial payment fails and you've transferred sufficient funds into your bank account, RCPA can initiate another ACH debit.

However, your fuel cards will remain deactivated for at least three business days while the new ACH payment clears.

Even if the money is available in your account, RCPA must wait for the payment to clear before restoring fuel card access.

If you need to avoid an interruption in card access, we recommend resolving your balance through a same-day wire transfer or Zelle instead.

4. Why does it take at least three business days for my cards to be reactivated after an ACH retry?

ACH payments are not immediately finalized. Even when sufficient funds are available, banks require processing time to complete and clear the transaction.

During this period, RCPA cannot confirm that the outstanding balance has been successfully collected.

To prevent additional unpaid fuel purchases, cards must remain deactivated until the payment has cleared.

Adding money to your bank account does not automatically restore fuel card access.

5. Why does RCPA deactivate fuel cards after a failed payment?

RCPA provides fuel purchasing access with the understanding that outstanding balances will be paid according to the agreed-upon weekly payment schedule.

When a payment fails, continuing to authorize fuel purchases would increase the unpaid balance.

Temporarily deactivating cards helps maintain responsible account management and protects the financial stability of the program.

Our priority is to help you resolve the issue quickly so your business can continue operating with minimal disruption.

6. Can I pay my outstanding RCPA balance with a credit card?

No. RCPA does not accept credit card payments toward outstanding fuel balances.

Using another credit card to pay an existing fuel card balance creates additional financial and regulatory compliance considerations.

For this reason, outstanding balances must be resolved using an approved payment method, such as ACH, a bank wire, or Zelle.

7. Who should I contact if my payment fails?

Contact your dedicated RCPA Customer Account Manager (CAM) immediately.

Your CAM can:

  • Confirm your outstanding balance.

  • Provide instructions for sending a same-day wire or Zelle payment.

  • Explain the ACH retry process and expected card downtime.

  • Help you understand the steps required to restore card access.

The sooner you contact your CAM, the more options you'll have to avoid disruptions to your operations.

8. How can I prevent failed payments in the future?

A few simple steps can help you avoid payment issues and keep your fleet moving.

  • Review your weekly balance: Know what you owe before Friday's scheduled debit.

  • Maintain sufficient funds: Make sure your designated bank account can cover the full payment.

  • Plan ahead for transfers: Move funds into your account before the scheduled debit rather than waiting until Friday.

  • Monitor your bank account: Watch for unexpected transactions or account issues that could affect your available balance.

  • Stay in touch with your CAM: If you anticipate a payment issue, communicate with your account manager as early as possible.
